We at Axis and cmds.media are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy outlines how we collect, use, disclose, and protect your information when you use our services.

What We Collect

Persistent Data

Data is stored where necessary for Axis to function correctly. This includes data created through dashboard configuration as well as data created through bot usage, such as when a feature needs to remember something about a specific user or server between interactions. Examples include:

• Discord server (guild) IDs, to associate settings with a server.
• Discord user IDs, to associate preferences with specific users.
• Channel IDs, role IDs, and additional information you've configured, for features like logging, moderation, and role menus.
• User-configured content you've willingly provided, such as your preferences and the settings configured on the dashboard.
• Additional data produced through interactions necessary for features of the Service to function properly.

Session Data

When you log in to the Axis website, we create a session to keep you logged in. Session data is temporary and is deleted when you log out, or your session expires. Session data includes information such as your Discord user ID, username, and avatar URL, which are necessary to display your account details, personalize the dashboard, and prove that you're really you.

Processed Data

The bot processes certain Discord data to function correctly, but does not persist it beyond short temporary caching. This includes information such as command interaction data used to make commands and bot features work correctly. This also covers some of the information used to display the dashboard, such as the servers you're in.

We do not store any of this information beyond the duration of your session and short-term caching systems.

IP and Device Information

When you visit the Axis website, we may collect certain technical information about your device and network connection, such as your IP address, browser type, and operating system. This information is used only for security purposes, such as preventing abuse and ensuring the security of our services. We do not use this information for any other purpose.

How We Use Your Information

We use the data we collect only to:

• Run and deliver the Axis service, including bot features, commands, and the dashboard.
• Protect the security of the service.
• Communicate with you about Axis and send you important updates on our services.
• Respond to support requests and legal obligations.
• Improve the service and develop new features and functionalities.

We may also derive and display anonymized aggregate statistics about the Service, such as the number of servers Axis is in or command usage metrics. These figures cannot identify you individually and are never linked to your account or personal information.

We don't use your data for third-party advertising, profiling, or any purpose other than operating the service.

In connection with abuse investigations, enforcement actions, or appeals, authorized personnel may access limited account and usage data, such as network logs and account information, as reasonably necessary to evaluate the matter.

How We Share Your Data

We do not sell, rent, or share your personal data with third parties for advertising or data brokerage purposes.

We may use third-party service providers to operate the Service, such as Discord for authentication and account identification, and infrastructure providers (e.g. hosting, security, or delivery services) that process data only as necessary to run Axis.

We may also disclose information if absolutely necessary, such as:

• Legal compliance: If we're required by law or a valid legal process to disclose certain information.
• Safety: If we have a good-faith reason to believe disclosure is necessary to prevent harm or address a violation of our terms.

In cases where access is suspended or terminated, we may also disclose limited information about the enforcement action when reasonably necessary to prevent fraud, abuse, or misrepresentation of the Service. This may include the general reason for the action and basic non-sensitive details about the decision. We will not disclose unnecessary personal data beyond what is reasonably required to protect the integrity of the Service or respond to false or misleading public statements.

Cookies

First-Party

Axis uses cookies to keep you signed in, remember your preferences, and support site functionality. These cookies are not used for cross-site tracking, advertising, or profiling.

• Session: Keeps you signed in during your visit via Discord OAuth.
• Site preferences: Remembers the settings you chose, such as language and theme, across visits.
• Functionality: Additional cookies may be set as needed to make other site features function properly. These cookies are strictly functional.

Other services operated by cmds.media may set cookies under the cmds.media domain. These cookies are managed by the relevant service(s) and are not used by Axis.

Third-Party

Third parties involved in delivering the Service or other cmds.media services may set their own cookies (for example Discord or Cloudflare). We do not control these cookies, and they are governed by the respective third party's privacy policies.

Discord & OAuth

When you sign in to the Axis website using your Discord account, we retrieve basic account information from Discord, such as your user ID, username, and avatar URL to display your account details. This information is stored in your session and is not retained beyond that. We may also retrieve a list of servers you're in to show you the relevant server settings on the dashboard.

Certain public profile information, such as your username and profile picture, may be visible to other users of the Service in relevant contexts. For example, if your server is listed on the Axis server list, your profile may be shown as the server owner. This only covers information that is already publicly associated with your Discord account, and we don't make private information visible to others.

We do not see your Discord password, nor do we gain control over your account. Axis cannot send messages as you, and only accesses data that you authorize at login.

You can revoke Axis's access to your Discord account information at any time through your Discord settings. This will prevent you from viewing the dashboard and changing server settings until you reauthorize, but does not affect the bot's functionality in your servers.

Data Security

We implement industry-standard security practices to protect your personal information from unauthorized access, use, alteration, or disclosure. While no system can be completely immune to risks, we take reasonable precaution to maintain the security of your data.

In the event of a data breach, we will notify affected individuals as soon as possible, without unreasonable delay, following the discovery or notification of the breach.

Data Retention

We keep your data only for as long as it's needed to run the Service. Dashboard configurations are retained until you remove them or request deletion. Cached or processed data that isn't written to our database is discarded. IP and device information logs are short-lived and not retained beyond their security purpose.

If you remove Axis from your server, your server's configuration data may be retained for a short period in case you re-add the bot. You can request immediate deletion at any time.

Children's Privacy

Axis is not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under the age of 13. If we become aware that we have inadvertently collected personal information from a child under the age of 13, we will take steps to delete such information from our records. If you are under the age of 18, you represent and warrant that you have obtained consent from your parent or legal guardian to use the Service, and that they have agreed to our Privacy Policy and Terms of Service.

Changes to this Privacy Policy

We reserve the right to modify or update this Privacy Policy when we deem it necessary, without prior notice. Any changes to this policy will be effective by the 'last updated' date at the top of this document. Your continued usage of our services after the posting of any revised policy constitutes your acceptance of such changes.

Governing Law

This Privacy Policy shall be governed by and construed in accordance with the laws of West Virginia, without regard to its conflict of law provisions.

Deleting Your Information

You may request to delete all information associated with you from our platform. If you wish to do so, submit a request here.
